Usually, someone contacts the vendor, and gets a price for an item based on the assumption that
X number of orders will be placed. The vendor, may set a fixed limit, or a graduated scale (more orders, bigger discount).
Generally, I have seen orders begin taken by the vendor directly, and once ordering for the group buy is closed, payments are to the vendor, and product is delivered.
I am organizing a group buy for RS4 front grills. I had to do it a little differently because the vendor is in Germany and he doesn't have credit card facilities. Also, shipping product from overseas can get expensive if done piecemeal, but it's not so bad if it's done in larger quatities on lightweight items. Myself and 6 other volunteers served as a point of contact for payments and orders. We have pooled the money and wired them to the vendor. He in turn will ship the product to each of the volunteers, who in turn will parse out the product and ship them to each buyer. This is somewhat unorthodox, but given the nature of the circumstances, it's working quite well.

Haven't you heard of the pyramid scheme?! :-)
Seriously, it added up to about $100. About $35 went to cover the "extra" cost to procure the first grill outside the group buy. The rest is slush money.
