how do insurance and damage records work? where does carfax and the like get records?

how do insurance and damage records work? where does carfax and the like get records?
i'm knee deep in insurance B$ right now...
and a thought came to mind. I'm curious if this damage is going to go down on my car's "permanent record" and if so how?
does this only happen when a police report is filed? do the insurance companies report it? only the vehicle's insurance company? the other company?
my insurance company has not been involved as of yet.
i'm a n00b to insurance claims, thankfully. this is my first and it's damn painful. we'll see if they respect me in the morning...
on a positive note, car should be done midday tomorrow! oh, and my friend/roommate has been super cool about the whole thing, it's going directly on his CC, and then he's dealing with the actual claim later, even if the insurance company tries to not pay for it.
