While we picked up our car yesterday, the salesperson showed us the bulletin on a replacement schedule for 2nd keys. See attached.

You should also receive a simultaneous notification in the app as well as in the car

I actually just got a different letter in June saying call any Local Audi dealer and they can now order my second key fob and have it set up. No mentioning of any key fobs being mailed.

I read the letter in the picture as in the mailings (like the one you received) will be mailed out according to that table. And that the letter itself is like what you said - schedule an appointment etc. When did you pick up your car?
